Refund & Cancellation Policy

1. Overview

This policy explains how cancellations, membership freezes and refunds work for Zenith Fitness-Pro memberships, personal training, youth programs and day passes. It forms part of our Terms & Conditions.

2. Changing your mind

If you join and change your mind within 7 days of your first payment, and have not attended more than one session after your free assessment, we will refund your first payment in full.

3. Cancelling a monthly membership

• Monthly memberships can be cancelled at any time with 30 days’ written notice by email or at reception.
• Your membership remains active until the end of the notice period, and the final payment covers that period.
• Quarterly memberships can be cancelled from the end of the current quarter; unused full months may be refunded on request.
• We do not charge cancellation fees.

4. Freezing your membership

You may freeze your membership for up to 60 days in each 12-month period for medical reasons, travel or exams. Please request a freeze at least 7 days before your next billing date. Medical freezes longer than 60 days may be agreed with a doctor’s note. No fees are charged during a freeze, and your membership end date moves back by the same period.

5. Personal training sessions

• Personal training sessions must be cancelled or rescheduled at least 24 hours in advance.
• Sessions cancelled with less notice, or missed, may be counted as used.
• Unused sessions in a monthly package roll over for one month only.
• Unused prepaid sessions can be refunded if you have to stop training for medical reasons, on presentation of a doctor’s note.

6. Youth programs

Youth memberships follow the same cancellation and freeze rules as adult monthly memberships. If a youth athlete cannot continue because of injury or illness, parents or guardians may request a pro-rata refund of any remaining prepaid weeks.

7. Classes cancelled by us

If we cancel a class or personal training session, we will offer an alternative time or credit the session. If we close the facility for more than 7 consecutive days for reasons within our control, members will receive a pro-rata credit or refund for the closed period.

8. Day passes and guest passes

Day passes and guest passes are non-refundable once used. Unused day passes may be refunded within 30 days of purchase.

9. How refunds are paid

Approved refunds are paid using the original payment method where possible, within 14 working days of approval. We may need to confirm your identity before processing a refund.

10. When refunds are not given

Refunds are not given for memberships suspended or ended because of serious breaches of our gym rules, or for periods in which a member chose not to attend while the facility was open.

11. How to request a cancellation or refund

Send your request by email or hand it in at reception, including your name, membership type and the reason for your request. We will confirm receipt within 2 working days.
