We only collect information that we need to provide our services safely and well. Depending on how you interact with us, this may include:

• Contact details — your name, phone number and email address when you send an enquiry or book an assessment.
• Membership details — date of birth, emergency contact, membership plan, payment records and attendance history.
• Health and fitness information — answers to our pre-exercise health questionnaire, injury history, movement screen results, training logs and progress measurements you choose to share.
• Youth athlete information — the athlete’s name, age, sport, school or club (if provided), parent or guardian contact details and signed consent.
• Website data — technical information such as browser type, device, pages visited and approximate time of visit, collected through cookies as described in our Cookie Policy.
• Communications — messages you send us by email, phone, form or in person.

3. How we use your information

We use personal information to:

We process personal information because it is necessary to provide the services you have requested, because you have given consent (for example, to the health questionnaire or to optional marketing messages), because we have legitimate interests in running a safe and effective gym, or because the law requires it. You may withdraw consent at any time, although this may affect our ability to coach you safely.

5. Health information

Health information is sensitive. We collect it only to keep you safe and to plan appropriate training. Access is limited to the coaches and staff who need it to work with you. We never share it with third parties except in an emergency, where required by law, or with your explicit permission — for example, when you ask us to speak with your physiotherapist or doctor.

6. Youth athletes and children

Our Youth & Scholastic Athletics program is for ages 10 to 18. We only register a youth athlete with the consent of a parent or legal guardian, who provides the athlete’s details and health information on their behalf.

Parents and guardians may ask to see, correct or delete their child’s information at any time. Photos or videos of youth athletes are never published on our website or social media without written consent from a parent or guardian.

7. Who we share information with

We share personal information only when necessary, and only with:

• payment and banking providers that process membership payments;
• website hosting, form and email service providers that operate on our behalf under confidentiality obligations;
• emergency services or medical professionals in an emergency;
• professional advisers such as accountants, insurers and lawyers; and
• authorities where we are legally required to do so.

Our service providers may only use your information to provide services to us.

8. How long we keep it

We keep membership and training records for the length of your membership and for up to three years afterwards, unless a longer period is required for accounting, insurance or legal reasons. Enquiries that do not lead to membership are deleted within twelve months. Youth athlete records are kept for the same periods unless a parent or guardian asks for earlier deletion where the law allows.

9. Keeping information secure

We use reasonable technical and organisational measures to protect personal information, including secure website connections, password-protected systems, limited staff access and locked storage for any paper records. No system is completely secure, so please contact us immediately if you believe your information has been compromised.

10. Your rights

Subject to applicable law, you may ask us to:

• give you a copy of the personal information we hold about you;
• correct information that is inaccurate or incomplete;
• delete information we no longer need;
• stop or limit certain uses of your information, including marketing; and
• transfer information you provided to another provider where technically possible.

We will respond within 30 days. We may ask you to confirm your identity before acting on a request.
